Email support - How to setup e-mail and how to login to web mail + groupware

This manual page explains how you can logon into the e-mail and workgroup web interfaces and how to setup your 12BeOnline e-mail and workgroup on your PC, Mac, smartphone and tablet.

 

 

Features

E-mail and groupware at 12BeOnline provides several interfaces:

  • Simplified webmail with e-mail feature only.
  • E-mail with groupware web interface; here all workgroup features are available:

  • PC and Mac interface with IMAP or POP3 + SMTP with e-mail only.
  • Tablet and smartphone interface for Android, Apple and Windows, with ActiveSync; here most workgroup features are available:

    • Tasks
  • Tablet and smartphone interface for Android, Apple and Windows with IMAP or POP3 + SMTP with e-mail only.

 

Create an e-mail account in the portal

  1. Go to http://www.12beonline.com/my_messaging.html and login with your username
  2. Click on the e-mail domain for which you want to create an account
  3. Click on Edit to manage an existing account or click on Add to add an account
  4. Enter a name and password and click on Save

 

Logging on e-mail only web interface

  1. With your browser go to http://webmain.mydomain.tld (substitute mydomain.tld by your domain name) or to https://mail.12beonline.com/
  2. Click on Log in to Webmail
  3. In

    ● at Username type your e-mail address
    ● at Password type your password
    ● click on the Login button.
  4. Your page now looks like this:

 

Logging on groupware web interface

  1. With your browser, go to http://webmain.mydomain.tld (substitute mydomain.tld by your domain name) or to https://mail.12beonline.com/
  2. Click on Log in to Groupware
  3. In

    ● at Username type your e-mail address
    ● at Password your your password
    ● optionally choose your language at Language
    ● click on Log in to logon.

 

General Setup

Before you can send e-mail from the webmail, your PC, tablet or smartphone, you'll need to setup your mail preferences to ensure that mails can be sent and deleted. You can setup your mail preferences in the groupware web interface:

  1. With your browser, go to http://mail.12beonline.com/
  2. Click on Log in to Groupware
  3. In

    ● at Username type your e-mail address
    ● at Password type your your password
    ● optionally choose your language at Language
    ● click on Log in to logon.
  4. In the menu:

    hover your mouse above the Wheel icon:

    then hover Preferences and click on Global Preferences:
  5. In the Global Preferences page, click on Personal Information:
  6. In the Personal Information page:

    ● at Your full name type your full name
    ● at The default e-mail address to use with this identity type your e-mail address
    ● optionally, type your country at Default location to use for location-aware features.
    ● click on the Save button.
  7. In the menu, hover your mouse above the wheel icon, then hover Preferences and then click on Mail.
  8. In the Preferences for mail page, click on Deleting and Moving Messages (below the heading Message).
  9. Check the option Move deleted messages to your Trash mailbox instead of marking them as deleted in the current mailbox? and click the Save button. Now some extra options are displayed:
  10. At Trash mailbox, select Trash if this is not already the case.
  11. Click on Save.
  12. Log out: click on  in the upper right corner.
  13. Now you can setup your PC and mobile devices.

 

Setup on Outlook automatically

 1. Go to the Control Panel - Mail and, if necessay click on E-mail accountsAdd

 

 

2. Select Manual setup or additional server types

   

 

3. Select Outlook.com or Exchange ActiveSync compabile service.

  

 

4. Enter your account data. The server is mail.12beonline.com

  

 

Click on OK and Next until the setup wizard finishes. Now start Outlook and your e-mail will be syncronized.

 

 

Setup on Outlook manually

  1. Go to Control Panel - Mail and, if necessary click on E-mail accountsAdd  

      

 

2.    Select Manual setup or additional server types

      

 

 

3.    Select POP or IMAP

      

 

4.   Enter your account data account. enter your password and at User Name enter your e-mail address. click on More Settings.

      The incoming and outgoing server is mail.12beonline.com

 

     

 

 

5.   Click on tab Outgoing Server an check My outgoing server (SMTP) requires authentication

    

 

6. Click on tab Avanced, at Outgoing server (SMTP) port 26 or 25, and at Use the following type of encrypted connection select Auto.

   

 

Now your Outlook has been setup. Click on OK to finish the setup. You now can start Outlook and use your e-mail.

 

Setup on Android smartphone and tablet

There are two choices for setting up your Android device:

The preferred choice is Microsoft Exchange ActiveSync, because it will provide you with the most functionality.

 

Setup on Android smartphone and tablet with Microsoft Exchange ActiveSync

This connection type is provided to you free of charge, you do not need a Microsoft product or license.

  1. Please first perform the general setup
  2. On your Android device, go to mail by tapping on the Mail button
  3. Tap on the Down arrow button
  4. Tap on New account
  5. In the Choose a mail provider screen:

    tap on Microsoft Exchange ActiveSync.
  6. In the Set up Exchange ActiveSync account screen:

    ● type your e-mail address
    ● type your password
    ● tap on Next.
  7. In the Exchange ActiveSync settings screen:

    ● choose (tap on) Push mail
    ● tap Next.
  8. In the New account page:

    ● at Account name, type your account name (usually best to keep it the same as your e-mail address)
    ● tap on Finish setup.
  9. Your device will now complete the setup (using auto discovery), and your device will look like this:
  10. From now on, e-mail send to you will automatically be fetched and displayed in your inbox. You can now also use your calendar, notes and tasks.

 

Setup on Android smartphone and tablet with POP3 or IMAP + SMTP

  1. Please first do the general setup.
  2. On your Android device, go to mail by tapping on the Mail button
  3. Tap on the Down arrow button
  4. Tap on New account
  5. In the Choose a mail provider screen:

    tap on Other (POP3/IMAP).
  6. In the New Account screen

    ● type your e-mail address
    ● type your your password
    ● tap on the Next button.
  7. In the Incoming settings screen:

    ● at Protocol, choose IMAP
    ● at IMAP server, type: mail.12beonline.com
    ● at Security type, choose TLS
    ● leave Server port at 143
    ● tap on the Next button.
  8. In the Outgoing server settings screen:

    ● at SMTP server, type mail.12beonline.com
    ● at Security type, choose TLS
    ● leave Server port at 25
    ● tap on the Next button.
  9. In the New account screen:

    ● at Account name, type your e-mail address
    ● at Your name, optionally type your real name
    ● optionally, tick Make this my default mail account
    ● tap on the Finish setup button.
  10. Your device will now complete the setup, and your device will look like this:
  11. From now on, e-mail send to you will automatically be displayed in your inbox.

 

Setup on Apple iPhone and iPad

There are two choices for setting up your Apple device:

The preferred choice is Exchange, because it will provide you with the most functionality.

 

Setup on Apple iPhone and iPad with Exchange

This connection type is provided to you free of charge, you do not need a Microsoft product or license.

 

Important note for iOS 7: iOS 7 currently has a bug that prevents automatic setup using auto discovery. You are advised to update your device. Included in the instructions below is an explanation how to solve this.

 

  1. Please first do the general setup.
  2. On your Apple device, in your home screen, tap on Mail
  3. In the Welcome to Mail screen, tap on Exchange
  4. In the Exchange screen:

    ● at Email, type your e-mail address
    ● at Password, type your password
    ● at Description, type a description of your email account
    ● tap on Next.
  5. If you get an error message "Exchange Account Unable to verify account information", like this:

    and you have iOS 7 (and you have typed your password correctly), then proceed as follows: Tap on OK and in:

    tap on Save, and continue after step 6 with step 8.
  6. In the next Exchange screen:

    tap on Save.
  7. Your setup is now complete, and your mail Inbox screen will look like this:
  8. If however, you got the error message, go to the main screen, and tap on Settings
  9. In the Settings screen:

    ● tap on Mail, Contacts, Calendars
    ● in the right-side panel, tap on your email account (shown here as "My name at 1 2 be online").
  10. In

    tap on Account.
  11. In the Exchange screen:

    ● change Server from autodiscover.12beonline.com to mail.12beonline.com
    ● change Username to your full e-mail address (myemailname@domain.tld) (as illustrated here by myname@12beonline.com)
    ● make sure that Email is still your e-mail address
    ● tap on Done.
  12. Your setup is now complete, and you can now proceed to the main screen, and then to Mail

 

Setup on Apple iPhone and iPad with Other for POP3 or IMAP + SMTP

  1. Please first do the general setup.
  2. On your Apple device, in your home screen, tap on Mail
  3. In the Welcome to Mail screen, tap on Other:
  4. In the New Account screen:

    ● at Name, type your name
    ● at Email, type your e-mail address
    ● at Password, type your password
    ● at Description, optionally type a description
    ● tap on Next.
  5. In the next New Account screen:

    ● keep IMAP selected (you could select POP, but IMAP offers better functionality)
    at INCOMING MAIL SERVER:
    ● at Host Name, type mail.12beonline.com
    ● at User Name, type your e-mail address
    ● at Password, your password is already typed,
    at OUTGOING MAIL SERVER:
    ● at Host Name, type mail.12beonline.com
    ● at User Name, type your e-mail address
    ● at Password, type your password,
    ● tap on Next.
  6. In the IMAP screen:

    ● disable Notes (this function is not supported)
    ● tap Save.
  7. Your setup is now complete, and you can now proceed to the main screen, and then to Mail
